Changing School Year Dates after Scheduling has Started

To change the next year school start date (or any future calendar date) after the next year scheduling has been done, but before it’s committed and rolled over to the new year, you will have to change the dates in the school set up screen as well as two tables, Students(1) and Schedulecc(111).

This has to be done for each school individually (including preschools and D.O.). Change the dates that are affected, i.e., start date for School Year, Quarter, Trimester, Semester, etc.

Step1:

On the PowerSchool start page choose a school and scroll down to the Setup menu and select School. On the School Setup screen scroll down to Scheduling Setup and select Years & Terms. Choose the year that needs the date change and click on Edit Terms. (This should always be the current year which is located at the bottom of the list.)

After doing this process for each school, the school year dates should now be correct.

Step 2:

The dates will also need to be changed in PowerScheduler for each of the secondary schools. This needs to be done because all the next year enrollments have the incorrect date.

For PCHS, TMJH, EHMS

On the PowerSchool start page choose PCHS, TMJH, or EHMS as the school.

Open PowerScheduler, under the Parameters section choose Years & Terms. Change the dates for the school year similar to the changes in Years and Terms done in step 1.

Step 3

Once both Steps 1 & 2 have been completed for every school you will need to change the start dates for any pre-enrolled students. This is done using DDA.

Go to: http://powerschool.pcschools.us/admin/tech/usm/home.html

On the DDA start page select the Students(1) as the the current table. Under the search students section choose EntryDate as the first criteria and set it equal to the old start date (mm/dd/yyyy format) . Choose the button: Search all ### records in this table

This should give you a list of all students who have been pre-registered for next school year. (Verify these are the correct records by choosing Table View) Click Back to Direct Access Main Screen from Table View.

Click on Modify Records and choose EntryDate from the drop down menu. Type in the new start date for the school year in the mm/dd/yyyy format. The students entry date is now corrected for the new school year.

Step 4

Next you will need to change the date in the student’s schedules for next year.

On the DDA start page select the Schedulecc(111) as the the current table. Under the search schedulecc choose DateEnrolled as the first criteria and set it equal to the old start date (mm/dd/yyyy format) . Choose the button: Search all ### records in this table. Select Table View to search, check the first few records to make sure they look right. You won't be able to check each record because there will be thousands of records.

Click on Modify Records and choose DateEnrolled from the drop down menu. Type in the new start date for the school year in the mm/dd/yyyy format. If there are a large quantity of records this may take a few minutes.

This should not be necessary unless a date has been changed late in the year, which is not a common occurrence.
